Job Description

Under the authority and supervision of the Head of Mission and the Deputy Head of Mission, you will be required to perform the following tasks:

  • Ensure the day-to-day management of the Secretariat of the Embassy, including accounting using Microsoft Excel
  • Manage the agendas of the Embassy team as well as the official correspondence and communication
  • Liaise with other Embassies, UN agencies and African Union to coordinate meetings/events
  • Oversight of the archiving of all incoming and outgoing Embassy correspondence
  • Assist with the management of accounting operations and manage the Embassy liquidities, ensure all calculations and data entries are correct
  • Monitor and ensure the proper execution of all Embassy-related payment transactions and maintenance contracts for expatriate staff residences
  • Assist with the organization of incoming visits and official Embassy events, inside and outside Embassy premises
  • Assist the Embassy staff in all administrative procedures related to their professional duties and life in the country of posting (diplomatic ID, drivers’ licence)
  • Perform any other duties assigned by the Head of Mission and Deputy Head of Mission

About You

  • You must have successfully completed secondary (or equivalent) studies or more
  • You are fluent in spoken and written English and Amharic
  • You have an intermediate level of spoken and written French (fluency in French is an advantage)
  • You have solid experience in budgets and accounting
  • You are proficient in using Microsoft Office applications (Outlook, Word and Excel)
  • You have excellent time management and organizational skills
  • Flexibility, resilience, patience and the ability to deal with difficult situations are characteristics that distinguish you
  • You have a great sense of responsibility
  • You have a high level of discretion
  • You enjoy working in a small, young and dynamic team and you are ready to tackle a variety of challenges
