Position Summary
Pharo Foundation is seeking a reliable and proactive Admin & People Support to support both the School Principal and the People & Culture team in ensuring smooth school operations and effective staff support. This is a hybrid role involving administrative and people-related duties, with close collaboration with the People & Culture teams in Assosa and Addis Ababa.
This role is ideal for a highly organized individual who enjoys working in a fast-paced, values-driven environment and is passionate about supporting educational initiatives.
Key Responsibilities
Administrative Support to the School Principal
- Manage the Principal’s calendar, schedule meetings, and assist with communication and documentation.
- Draft and format letters, reports, and memos as requested.
- Organize meetings, take minutes, and follow up on action items.
- Maintain filing systems for school records, correspondence, and reports.
- Assist with event coordination, student-parent communications, and general logistics.
- Serve as a central liaison between the Principal and teaching and support staff.
People & Culture Support (in collaboration with the People & Culture Team)
- Maintain and regularly update employee personnel files, ensuring all documents are accurate and securely stored.
- Assist with recruitment processes, including scheduling interviews, preparing candidate files, and communicating with applicants.
- Follow up on medical insurance claims and staff benefit requests, coordinating with People & Culture teams in Assosa and Addis Ababa as needed.
- Support data entry and updates on the People & Culture information system.
- Track staff attendance, prepare monthly reports, and manage leave records.
- Coordinate onboarding and offboarding of staff, including documentation and orientation logistics.
- Assist with staff relations matters, supporting a positive and respectful workplace culture.
- Share policy updates and announcements with staff and ensure alignment with People & Culture guidelines.
- Provide local support during audits, reviews, or staff well-being check-ins.
About You
- Diploma or Bachelor’s degree in Human Resource Management, Business Administration, Office Management, or a related field.
- Minimum 2 years of relevant experience in people support or administrative roles.
- Excellent interpersonal and communication abilities.
- Proficiency in Microsoft Office Suite and familiarity with people systems or HRIS platforms.
- High level of integrity and the ability to handle sensitive information with confidentiality.
- Commitment to living and working in a rural school setting.
