Job Purpose:
This position involves facilitating the movement of food commodities from storage facilities to distribution points. This includes planning dispatch schedules, ensuring timely delivery, coordinating with transport providers, and aligning shipments with program needs. The dispatcher must track inventory levels, verify recipient locations, and resolve logistical challenges to maintain efficiency. A well-coordinated dispatch operation guarantees that emergency food aid reaches beneficiaries on time and in good condition, minimizing delays and losses.
Major Responsibility
Coordinating dispatch operations
- This includes planning dispatch schedules, ensuring timely delivery, coordinating with transport providers, and aligning shipments with program needs.
Documentation and Record Keeping
- This activity ensures transparency, accountability, and compliance with program regulations. It includes rrecording details of food shipments, including quantity, type, destination, and dispatch date and tracking inventory.
Quality Control & Inspection
- Inspecting food items for spoilage, contamination, or damage before dispatch. Documenting and addressing any quality concerns, including rejected shipments or corrective actions.
Communication & Coordination
- Communicating daily dispatch schedules and priorities, ensuring proper loading and packaging of food commodities, verifying inventory levels and stock availability before dispatch and addressing any discrepancies in stock records or damaged goods.
Reporting & Issue Resolution
- Recording any delays, losses, or damages in food shipments, maintaining detailed reports on discrepancies in dispatch operations, ensuring compliance with donor and program reporting requirements and ensuring timely updates on dispatch status and problem resolution.
Required Professional Experience
- Experience: Minimum of 2+ years of experience in relief and/or any emergency response program interventions implementation in the similar or related positions
Required Education, training, license, registration, and certification
- Degree / Certificate of accomplishments/etc. in related fields.
Preferred Knowledge and Qualifications
- Proficiency in inventory management and documentation.
- Ability to work under pressure and in emergency response settings.
- Experience in logistics, supply chain management
- Good level of computer literacy (word, excel, power point and outlook).
