POSITION SUMMARY

Job Title: Finance and Administrative Assistant
Duty Station: Bishoftu
Reports to: Finance and Admin Manager
Liaison with: Project Manager, Driver/Logistics Assistant, Project Staff

The Finance and Administration Assistant will be responsible for managing, delivering and maintaining a high standard of day-to-day operations support activities of Three Roots International’s programs and finance and administrative services working in collaboration with the project team. S/he is responsible for supporting day-to-day financial operations, cash management functions, administrative and storekeeping activities of Three Roots International Bishoftu Project Office. The position will prioritize:

  • 40% Finance and Accounting
  • 20% Cash management
  • 20% Administrative Duties
  • 20% Storekeeping and Inventory Management

The candidate must be proficient in Peachtree Accounting Software (required) and preferably have experience using QuickBooks, with prior NGO experience.

About You

KEY RESPONSIBILITIES

1. Finance and Accounting (40%)

  • Enter and reconcile financial transactions using Peachtree accounting software
  • Assist in monthly and quarterly financial reporting to management and donors
  • Monitor budget expenditures and ensure compliance with internal and donor guidelines
  • Maintain accurate and up-to-date financial records and documentation
  • Support audit preparation, donor reporting, and year-end financial closure
  • Prepare journal entries and ensure all financial documentation is properly filed
  • Manage and follow up daily financial operations

2. Cash Management (20%)

  • Manage payments and purchases
  • Maintain petty cash and ensure timely replenishment
  • Ensure all cash disbursements are properly supported and authorized
  • Prepare and track bank deposits, cash collections, and payment vouchers
  • Maintain up-to-date financial records and prepare expense and reconciliation reports
  • Manage daily financial transactions including cash/bank payments

3. Administrative Support (20%)

  • Provide general secretarial and administrative support to the office
  • Manage office communications including phone calls, mail, and scheduling
  • Maintain organized filing systems (paper and digital) for easy retrieval
  • Organize and coordinate meetings, events, and logistics for staff and visitors
  • Liaise with the Headoffice and support logistics for incoming guests, partners and donors

4. Storekeeping and Inventory (20%)

  • Receive, store, and issue office supplies and project materials
  • Keep accurate inventory records of all office consumables and assets
  • Conduct regular stock counts and reconcile inventory records
  • Ensure proper store documentation and safety protocols
  • Coordinate restocking of items in coordination with the finance department

QUALIFICATIONS AND REQUIREMENTS

  • Education: Diploma and/or Degree in Finance, Accounting, Management, or related field
  • Experience: Minimum 5 years (Diploma) or 3 years (Degree) in a relevant role
  • Software: familiar with Peachtree and/or QuickBooks accounting software
  • NGO Experience: Strongly preferred

    Skills:

    • Proficiency in MS Office (Excel, Word, PowerPoint, Access)
    • Proficiency in Peachtree Accounting Software is a must
    • Familiarity with QuickBooks is preferred
    • Experience using Google Drive or other cloud-based file systems
    • Excellent time management, organizational, and coordination skills
    • Strong attention to detail and problem-solving ability
    • Ability to work independently and within a diverse team
    • Fluency in English and Amharic; Afaan Oromo is an asset
