Job Overview/Summary:
Reporting to the Finance Officer, the Finance Assistant is responsible for ensuring the overall Finance department activities in Hawassa field office. The Finance Assistant must be proactive in delivering the necessary tasks as required.
Major duties and responsibilities:
- Effects all cash payments and collection made in office and outside of the office (travel to field office)
- Prepares check and effect payments after approval from the designated official.
- Records all cash in the office, petty cash and bank transactions on integra using the correct codes and forward to Finance Officer for review and approval.
- Keeping all used and unused finance vouchers in a safe place.
- Keep the petty cash fund in the safe box and replenish timely when reaches its minimum balance as per the IRC policy.
- Assist the Finance Officer in preparation of the reports.
- Carries out cash count at the end of every week and at any interval as per the IRC policy.
- Reconcile cash balance per records with the result of cash count.
- Make sure taxes and any other liabilities paid timely.
- Keep filing systems in which documents could be readily available and easily traced.
- Make sure that all finance documents are stamped with IRC Ethiopia Paid or Received stamp before sending the document to Addis.
- Make sure keep financial documents each month, scan in the field office box drive and filed before the document is sent to Addis.
- Actively update any financial transaction on integra in daily bases.
- Create a payment on Integra system
- Give attention to detailed accuracy and neatness in documentation.
- Perform financial duties in line with the IRC Program, Personnel & Finance Regulations.
- Prepare any finance related outgoing letters.
- Replace the Finance Officer in their absence and undertake all duties as necessary.
- Do all tasks assigned by the Finance Officer.
Safeguarding Responsibilities:
- Promote and actively participate in initiatives and efforts to build team engagement, inclusion, and cohesion in IRC team/office.
- Foster ongoing learning, honest dialogue, and reflection to strengthen safeguarding and to promote IRC values and adherence to IRC policies.
Minimum Qualifications:
Requirements:
- 2 years of relevant work experience for diploma holders
- 0-year relevant work experience for first degree.
- Minimum of 6 months IRC internship service
- NGO experience is a plus.
Skills required:
- Basic computer knowledge (word, excel)
- Basic English spoken and writing.
- Good communication and interpersonal skills.
Language Skills:
- Knowledge on English Language is a must.
