Job Description
Background:
The Jesuit Refugee Service (JRS) is an international Catholic organization with a mission to accompany, serve and advocate on behalf of refugees and other forcibly displaced people. It was founded by the Society of Jesus on 14th November 1980 in Rome, Italy. Currently, JRS operates over 56 countries worldwide. JRS has been working in Ethiopia since 1982. Currently, JRS Ethiopia operates in Addis Ababa, Somali region (Melkadida, Kobe and Bokolomayo refugee camps) .
JRS Ethiopia’s main areas of interventions are education, livelihoods, child protection, mental health and psychosocial support, emergency assistance, and reconciliation and social cohesion.
Summary of Main Responsibilities
The job holder will have the responsibility of handling finance responsibility and supporting the finance department
Reporting to:
- Assistant Country Finance Officer
Specific Responsibilities
- Ensure that invoices and payment requests have the necessary approvals before being processed for payment.
- Prepare payments with vouchers such as CPV, PCPV, cheques, etc.
- Prepare transfer letters to Banks for initiating payments, including details such as the recipient
- Make the monthly tax payments.
- Ensure all supplementary financial documents are complete with proper file name as needed
- Provide the vouchers to the auditors when needed.
- Ensure that all transactions are coded accurately based on project codes, cost centers, and appropriate budget lines.
- Create a payment entry in NAV By design, ensuring the down payment is allocated correctly to the corresponding project codes.
- Process invoices, receipts, and payments, ensuring accurate documentation.
- Ensure that all financial documents comply with JRS’s internal financial policies and Ethiopian accounting standards.
- Ensure all files are scanned and uploaded in filling tree.
- Ensure all finance documents and files are complete, scanned and properly filed.
- Ensure all the files are safe and regularly updating the files when needed.
- Ensuring confidentiality of all the records all the time.
- Processing of journals such as accruals and provisions in preparations of monthly reports
- Maintain an effective filing system for project correspondences, reports and other documents, scanned and uploaded in filing tree
- Support the accounts payable/receivable process with proper documentation.
- Assist in maintaining financial records, including purchases, expenses, and grants and donations
- Support the compilation of data for the preparation of financial reports and budgets under the guidance of the Country finance Manager .
- Assist in the processing of invoices, payments, and receipts.
- Support in data entry, filing, and organization of financial documents.
- Collaborate with other departments to ensure financial compliance and accuracy in reporting under the Assistant Country Finance Officer.
- Assist with filing and retrieval of documents whenever necessary.
- Prepare payment requisitions including the relevant documents and process payments as required
- Handle office petty cash and make cash requests for petty cash replenishment on time.
- Performs other duties when required and given by the line manager
About You
Qualifications:
- B.A. with less than 2 Years experience of relevant and progressive experience working in Finance , accounting and experience may be substituted as appropriate
- Honest, hard-working, and self-motivated
- Strong interpersonal skills and ability to work within different cultural environments
- Strong written and communication and presentation skills in English and the relevant local language
- Ability to work within a team structure or independently, flexible, and can cope with stressful workload
- High degree of competency using MS Office, Excel, Word and e-mail communication
