Position: Finance Assistant
Reports to: Finance Coordinator
Supervision of: None
Duty station: Gendaweha
Travel: 100%
Duration and type of contract: Fixed Term, 10 months
Responsibilities
Role and responsibilities
The purpose of the Finance Assistant position is day to day implementation of the support functions responsibilities.
Generic responsibilities
- Adhere to NRC Policies, Tools, handbooks and guidelines
- Implements independent procedures and activities within own function or core competency as delegated
- Responsible for organizing and delivery of tasks in line with priorities and standards
- Develop and maintain knowledge of the specialist area of work in which technical assistance and support is being provided, to be most effecting in supporting the team
- Use initiative in day-to-day problem solving in line with agreed procedures, priorities and standards for the area of work
- Prepare and develop status reports as required by management
- Ensure proper filling of documents
Specific responsibilities
- Archiving, organizing and updating financial documents both in hard and soft
- Scanning and filling of all financial documents in soft copy
- Ensure that all the documents are properly placed, properly filled and labelled
- Mange uploading financial documents in office 365
- Providing vouchers to auditors and place them back in the file folder
- Help accountants on filling of monthly financial vouchers
- Maintain records to ensure the long-term preservation and easy retrieval of documents and information
- Upon request of finance staff scan the documents and vouchers
- Make sure and advice the users on how to best access, use and retrieve the archives
- Ensure financial documents are collected from field officers regularly and on time
- Liaises with compliance department audit and finance for any matter related to archive
- Assist handling all taxation matters including but not limited to extraction documents and preparing tax report in case necessary
- Help the finance staff in the acquisition and retrieval of documents
- Mange petty Cash replenishment and small payment of office running costs
- Issue cheque payments and bank transfers
- Support program team for field for training payments
- Any other task assigned by the supervisor
Qualifications
Generic professional competencies:
- Degree in Accounting and Finance, Business Administration, or related field fields
- At least 3 years’ experience in relevant work in humanitarian or development sector, preferably in emergency context
- Experience from working as a Support Function Officer in a humanitarian/recovery context
- Previous experience from working in complex and volatile contexts
- Documented results related to the position’s responsibilities
- Some knowledge of English
