Job Summary:

The Fleet and Logistics Officer will be responsible for managing the organization’s vehicle fleet, coordinating transport and logistics needs, and ensuring effective inventory and asset management.

Key Responsibilities:

Fleet and Vehicle Management

  • Manage the office vehicle booking system, ensuring proper scheduling, allocation, and utilization.
  • Monitor vehicle movements and ensure compliance with company policies and safety standards.
  • Oversee routine vehicle maintenance, repairs, insurance, and registration renewals.
  • Maintain up-to-date records of vehicle usage, fuel consumption, and driver assignments.
  • Monitor vehicle condition and ensure timely servicing to prevent breakdowns. Coordinate drivers’ schedules and monitor performance.
  • Liaise with mechanics, service centers, and suppliers for maintenance needs.
  • Track fuel consumption and analyze fuel efficiency for each vehicle.
  • Implement fuel monitoring systems or logs to ensure accurate fuel tracking.
  • Prepare monthly reports on fuel usage, expenses, and cost-saving opportunities.
  • Monitor and control fleet-related expenses, including fuel, repairs, and maintenance.

Inventory and Asset Management:

  • Develop and maintain an up-to-date asset register, including all fixed and movable assets.
  • Tag, label, and track assets across departments and locations.
  • Monitor asset movements, transfers, and disposals in line with company policy.
  • Conduct periodic asset audits and physical verification.
  • Manage asset disposals and write-offs in compliance with accounting and audit standards.
  • Conduct periodic stock counts and asset verification, ensuring proper documentation.
  • Ensure all asset records comply with accounting standards and internal controls.
  • Identify and mitigate risks related to asset loss, damage, or mismanagement.
  • Track the condition and location of office assets and recommend replacements as needed.

Logistics Coordination:

  • Ensure the timely availability of transport for staff and visitors.
  • Assist with logistics requirements for incoming and outgoing shipments.

About You

  • Bachelor’s degree or diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Minimum 5 years of experience in fleet management, logistics, or office administration.
  • Proficiency in MS Office (Word, Excel, Outlook) and inventory management software like ERP is an advantage.
  • Good organizational, communication, and problem-solving skills.
  • Ability to multitask and work effectively under pressure.
