Position: General Services Officer
Duty station: Addis Ababa /Head Office/
SPECIFIC DUTIES AND RESPONSIBILITIES
- Support in the development of general services administration regulations and guidelines.
- Supports in revision and development of fleet management policy when required
- Plan, organize, and direct the functions related to the servicing, maintenance and repair of vehicles, generators, motorcycles and equipment’s.
- Manage all service contracts with service-providing companies and vendors including insurance companies, garages, security and cleaning companies, etc.
- Ensure efficient fleet management system are employed
- Complete accurate data entry for all daily work logs in the Fleet software tracking system
- Monitor the location of vehicles using the GPS platform, creating reports on location, idle time, and speeding alerts;
- Prepare fuel consumption and vehicle cost analysis report on a monthly basis and submit to the department office;
- Receive vehicle requests and assign drivers/vehicles in an equitable manner
- Follow-up & ensure vehicles, motorcycles & generators management practice compliance with company policies and procedures, used for the intended business purpose, manage drivers’ behavior, and ensure users accountability for policy violation;
- Ensure routine servicing and maintenance of vehicles/generators/motorcycles are carried out on time and initiate requisition
- Ensure safeguard of all vehicles and motorbikes to have appropriate insurance coverage against accidents including 3rd party insurance, record & report accident claims for insurance company, manage the claims issues and follow up the claims until settlements;
- Ensure that the organization’s vehicles/motorcycles are inspected & have an appropriate plate number and ownership title book.
- Acting as liaison officer by representing the company to various offices related to fleet management & general service activities,
- Supervises and follows up the timely repair of office equipment, furniture, utility water and electric systems & prepare cost estimates for office renovation & maintenance; monitor and submit justifications for expenditure.
- Conducts regular visits to branch offices to assess the condition of assets & recommend any disposal/maintenance/renovation needs;
- Coordinate support team /drivers/office attendants/mechanics/ across the institution;
- Takes a leading role in office renovation & construction. Planning best allocation and utilization of space and resources for new buildings, or re-organizing current premises; and common areas including parking.
- Maintain vehicle/motorcycle history record & put in place policies to guard against property abuse;
- Manage the disposal & ownership transfer activities for obsolete & nonfunctional fixed assets
- Prepares and submits monthly, quarterly and annual report to the supervisor.
- Performs other related duties as assigned by the supervisor.
About You
EDUCATION/TRAINING
- BA Degree in Management, Business Administration or related fields
EXPERIENCE:
- 3 years of relevant experience.
TECHNICAL AND OTHER SKILLS
- Integrated knowledge and understanding of support services concepts, practices, systems, and procedures;
- Ability to interact and deal with people;
- Basic computer skills;
- Good written and oral communication skills.
