Job Description

TERMS OF REFERENCE (TOR) PROVISION OF SERVICES FOR DOCUMENTING SHORT VIDEOS AND PHOTOGRAPHY FOR IMPACT DOCUMENTATION FOR THE DONUTS – ETHIOPIAN FLOWERS & COFFEE PROJECTS.

ORGANIZATION BACKGROUND

Established in 2005, Fairtrade Africa (FTA) is a member of Fairtrade International and the umbrella network organization representing Fairtrade-certified Producer Organizations in Africa and the Middle East. It has four (4) regional networks – Eastern & Central Africa; Southern Africa; West Africa; and the Middle East & North Africa.

FTA currently represents over 1.4 million farmers and workers in over 660 producer organizations spread across 28 countries in Africa and the Middle East by providing services to them that contribute to the improvement of their livelihoods.

About Dignified Opportunities Nurtured Through Trade and Sustainability (DONUTS) Programme DONUTS is a four-year human rights-based development programme with 12 projects in 6 product value chains (Coffee, Flower, Cocoa, Sugar, Vanilla, and Wine) in 7 countries in Africa (Kenya, Ghana, CDI, S. Africa, Madagascar, and Malawi). DONUTS is financed by the Ministry for Foreign Affairs of Finland and several private sector companies.

1. DESCRIPTION OF THE PROJECTS

Improved workers’ Rights at Ethiopia Flower Farms. The Ethiopian Flowers Project, implemented by Fairtrade Africa (FTA) in collaboration with various partners, aims to enhance workers’ rights, promote decent working conditions, and improve inclusivity within Ethiopia’s flower farms. The project is being implemented from January 2022 to December 2025 and targets 18,117 workers across six (6) Fairtrade-certified flower farms in Ethiopia. The project is implemented across 5 Fairtrade certified farms in Ethiopia, in Bishoftu and Batu (Ziway).

Sustainable Chain of Ethiopian Coffee Project

The Ethiopia coffee project seeks to secure coffee farmers’ right to sustainable livelihoods by strengthening their climate resilience and furthering social inclusion. The project supports farmers to generate additional income from carbon credits, adopt good agricultural practices that raise yields, improve quality and earnings, and build producer organizations that actively include women, youth and persons with disabilities. The project’s implementation period runs from January 2022 to December 2025 and targets 22,801 coffee farmers from 15 cooperatives under Sidama Coffee Farmers’ Cooperative Union (SCFCU), Yirgacheffe Coffee Farmers’ Cooperative Union (YCFCU), and Bench Maji Forest Coffee Farmers’ Cooperative Union LTD (BMFCFU). Additional stakeholders include cooperative management, youth groups, advocacy partners, and government institutions involved in climate adaptation and agricultural policy.

2. OBJECTIVES

The purpose of this assignment is to engage a professional videographer/photographer to:

i. Capture compelling visuals (photos and videos) showcase both projects’ achievements and impact on beneficiaries.

ii. Document human-interest stories illustrate changes in cooperative farmers’ and flower farm workers’ livelihoods, environmental sustainability, and organizational governance.

iii. Produce engaging communication materials (in the form of case studies and testimonials) for use in donor reports, social media, stakeholder forums, and other outreach platforms

3. SCOPE OF WORK

The consultant shall undertake the following tasks

i. Pre-production

• Meeting with project teams to align expectations, key messages, storylines and target audiences.
• Develop the video concept and short list for approval.
• Prepare production schedule and logistics plan.

ii. Production

• Travel to selected project sites in Ethiopia (Bishoftu, Ziway, Hawassa, Yirgacheffe and Bench Maji)
• Conduct on-site filming and photography, including interviews with project stakeholders and beneficiaries.
• Ensure ethical and respectful representation of all individuals, especially women, youth and children.

iii. Post-production

• Produce 5 short videos (1 – 3 minutes each), highlighting different thematic areas (climate change adaptation and mitigation strategies, living income gender, youth and PWDs inclusion, organizational governance and farmers yield enhancement and productivity) for the Ethiopia Coffee Project.
• Produce 5 short videos (1 – 3 minutes each), highlighting different thematic areas (Gender and PWDs inclusion, Workers Rights, CBA negotiation results and youth and PWD inclusion) for the Ethiopian Flowers Project.
• Edit videos with subtitles, branding (logos, color schemes) and royalty-free background music.
• Produce 2 highlights reel and 2 documentary videos (8-10 minutes) telling the overall story for each project.
• Produce a library of 50 edited high-resolution photographs (with metadata and captions) for each project.
• Deliver raw footage and photographs for archive purposes for each project.

4. DELIVERABLES

The consultant shall submit the following deliverables:

• Shooting plan and storyline outline per project.
• 5 short thematic videos (1-3 minutes each) per project.
• 2 highlight reel and 2 documentary videos (8-10 minutes) for each project.
• 50 high-quality edited photographs with captions per project.
• All raw video and photo files.
• Consent forms from all filmed/ photographed subjects.

5. DURATION OF THE ASSIGNMENT

This assignment is expected to take place in the second and third week of August 2025.

6. QUALIFICATIONS AND DESIRED SKILL SETS

Required:

• Experience conducting similar assignments.
• Fluent in English and Amharic.
• Knowledge of the latest photography and videography technology and equipment.

Desirable:

• Experience working with Fairtrade and/or a deep understanding of the Fairtrade system.
• Experience conducting similar assignments.
• Fluency inwritten and spoken English and Amharic.

7. PROPOSAL REQUIREMENTS

Required:

• Technical and financial proposals. The budget should include all related costs inclusive of applicable taxes as per the Ethiopian law.

• CVs alongside two samples of similar previous works (profiling your professional experience and suitability for the job) shared through Google Drive or WeTransfer. The team must be comprised of qualified experts, with a demonstrated track record in offering videography and photography services.

• A clear workplan with specific activities, deliverables and timeline for completing the assignment within the contract period.

• Company profile with website link (where applicable).

• Evidence of at least two professional videography and photography assignments successfully completed.

• At least 3 references from the organization with whom similar assignments have been undertaken to outline the consultant’s role, performance, and deliverables.
